Renting LED TVs and Monitors for Events, Exhibition Booths, and Meeting Rooms: Size, Connections, and Setup

Screens are usually planned last, yet their failures are the most visible: slide text unreadable from the back row, an HDMI cable a few metres short, a TV that switches itself off mid-event because of a power-saving setting, or a stand that wobbles when a visitor bumps it. Almost all of it is preventable with a short plan.

Choose Size by Distance and Content

Two things decide size: the farthest viewer and the smallest content that must stay readable, such as the smallest slide text. Test with the real slides from the farthest point. Computer monitors are sharper at arm's length while large TVs are made for distance, so do not use a big TV as a work monitor. 4K helps viewers who stand close, as at a booth. Mount screens high enough that the people in front do not block them, and keep slides to large text and few words.

Connections and Cables

Carry USB-C to HDMI and DisplayPort to HDMI adapters as a backup because thin laptops often lack HDMI. Long passive HDMI cables can be unstable at high resolution, so use active cables or extenders; HDBaseT over LAN cable can reach around 100 metres. Use a splitter or distribution amplifier to show the same picture on several screens, match the output resolution to the panel's native resolution, and prefer cables over wireless casting for anything important.

Settings People Forget

Turn off auto sleep and screen savers, use the TV's PC or game input mode for sharper text, set brightness for the room and avoid direct reflections, plan separate audio because built-in TV speakers are not enough for a hall, ask before mounting in portrait because many consumer TVs are not designed for it or for non-stop operation, and keep the remote with one named person.

Mounting and Limits

Choose floor stands for booths, wall brackets for fixed rooms, and desk stands for monitors. Check the VESA pattern and weight rating, keep stands stable and away from walkways, cover floor cables, count power outlets, and lock screens in public areas. TVs and monitors suit booths, meeting rooms, registration desks, and desks; for a main stage, a large hall, or direct sun outdoors, use a specialist LED screen or videotron provider rather than tiling many TVs.
